Privacy Statement for the internal recruitment process
introduction
This privacy statement explains how we use your personal data when recruiting and selecting candidates for internal job vacancies with Randstad Enterprise, Randstad Sourceright, and Randstad Risesmart. We will explain for what purposes we use your personal data, how we handle it, with whom we share it, how long we keep it, where it may be transferred to or accessible from and what your rights are.
The controller of your personal data when you apply for a vacancy, will be your future employer in the group of companies that make up Randstad Enterprise, Randstad Sourceright, and Randstad Risesmart. For an overview of the Randstad group of companies which include those, you can click here.
what personal data do we collect about you?
When you apply for a job or create your profile, we collect the following personal data from you (where you so provide it):
- Identification information: your name, contact information (like your phone number, email, and home address), country of residence, date of birth, and languages spoken;
- CV and other recruitment information: information provided by your CV like your work history, skills, educational background, and other relevant information (such as your photograph, interview notes, and other similar information included in your CV, cover letter, or as collected during your application process)
- Background check and screening information : where required or permitted by law or based on a client requirements, we will collect information about any past criminal offenses and proceedings as well as information about your right to work. This can also include information about your past work history, experiences etc. as provided by any references you have provided. Where permitted by applicable law, we obtain this information from professional background screening service providers.
- Assessment information : in case you were invited to perform an assessment, we will collect information provided by you and the outcomes of the assessment like the results, your personality factors and information about your soft competences.
- Compensation and benefits information: your expectations for compensation and benefits associated with the role you are applying for
- Other information you have chosen to share with us during your application process.
why do we need your personal data?
We will use your personal data to:
- To create (if you haven’t done so yourself) and manage your profile and related information like your CV, and your application in our recruitment systems so that we can oversee the recruitment process effectively.
- To make arrangements for interviews and to communicate about your progress during the recruitment process so we can ensure a smooth recruitment experience for you.
- To select you as a candidate based on your qualifications and experience, to conduct interviews, to assess your hard and soft skills so we can make informed hiring decisions and engage the right individual for the position.
- To conduct a background check in order to be compliant with regulatory or client requirements for the applied position to ensure we find appropriate candidates.
- To make arrangements for a job offer and to prepare your employment contract in case your application is successful.
- For internal reporting purposes which includes requisition updates, and candidate updates so that we maintain an overview of open applications, candidates, and progress.
- To better understand and improve our recruitment process and practices.
with whom do we share your personal data?
We share your personal data:
- With third-party service providers (e.g. who provide our recruitment platform, or with whom you may perform assessments related to your application).
- With other entities of the Randstad group of companies. We are part of a multinational group of companies and sometimes we may share personal data with other Randstad groups of companies for the purposes of efficient management of business, or compliance with legal and regulatory requirements. - With providers of professional services (e.g. to our auditors, our tax advisors, our legal advisors).
- With public or regulatory authorities (e.g. if pursuant to applicable law we must disclose personal data to the competent authorities).
- With law enforcement authorities or courts if required.
When we share your personal data as described above, such personal data may be transferred both within and outside the European Economic Area (EEA).
In the event that we transfer your personal data internationally, we will only do so in line with applicable law, and we will require that there is an adequate level of protection for your personal data, and that appropriate security measures are in place.
- Your personal data may be transferred from countries located within the EEA to countries located outside of the EEA. In such cases, we will require that the following safeguards are observed:
- The laws of the country to which your personal data is transferred ensure an adequate level of data protection. Click here for the list of non-EEA countries that, according to the European Commission, provide an adequate level of data protection; or
- The transfer is subject to standard data protection clauses approved by the European Commission. More information about those data protection clauses is available here; or

how long do we keep your personal data
If you have not been recruited a role with a Randstad Enterprise company:
We retain your personal data for a period of 1 year counting from your registration in our recruitment system. If you want to be removed from the file earlier than the 1 year period, please contact us at gita@randstadsourceright.eu.
If you have accepted an offer with a Randstad Enterprise company:
If you accept an offer of employment with us, relevant personal data collected during your recruitment process will become part of your personnel records. Your future employer, an entity in the Randstad group of companies, will provide its privacy statement as part of your onboarding process. That privacy statement will explain their respective use and collection of your personal data as their employee.
your data protection rights
You have the following rights regarding your personal data:
- Right to be informed: You have the right to be provided with clear, transparent and easily understandable information about how we use your personal data and your rights. This is why we are providing you with the information in this notice.
- Right of access: You have the right to access the personal data we keep about you – this is because we want you to be aware of the personal data we have about you and to enable you to verify whether we process your personal data in accordance with applicable data protection laws and regulations.
- Right to rectification/correction: If your personal data is inaccurate or incomplete, you have the right to request the rectification of your personal data.
- Right to erasure/deletion: This is also known as ‘the right to be forgotten’ and, in simple terms, enables you to request the deletion or removal of your personal data where there is no compelling reason for us to keep it. This is not a general right to erasure, there are exceptions and we may deny your request if we are required by law to keep the information, or if the law otherwise permits us to keep information.
- Right to restrict processing: You have rights to ‘block’ or suppress further use of your personal data in certain circumstances and jurisdictions. When processing is restricted, we can still store your personal data, but may not use it further.
- Right to data portability: Where the right applies, you have the right to obtain and reuse your personal data in a structured, commonly used and machine-readable format in certain circumstances. In addition, where certain conditions apply, you have the right to have such personal data transferred directly to a third party.
- Right to object to processing: You have the right to object to certain types of processing, in certain circumstances and jurisdictions. In particular, the right to object to the processing of your personal data based on our legitimate interests.
- Right to withdraw consent: If our processing of your personal data is based specifically on your consent, you have the right to withdraw that consent at any time.
- Right to object to automated decision making: In certain jurisdictions you have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects for you or similarly significantly affects you. Automated decision making takes place when an electronic system uses personal data to make a decision without human intervention. This is not a general right to object, there are exceptions.
- Do Not Sell/Share Personal Information. You may have the right to direct us not to sell your personal information to third parties.
- Right to non-discrimination: You have the right not to receive discriminatory treatment for exercising any of your rights.

We will handle your request with special care to ensure your rights can be exercised effectively. Where we are unsure about your identity, we may ask you for proof of identity to ensure that we are not sharing your personal data with anyone else but yourself.
Please be aware that in some cases (for instance, due to legal requirements) we may not be able to make your request effective right away. In any case, within one month from your request, we will inform you of the actions taken. In certain cases and where allowed under applicable law, especially if your request is complex, we may take up to three months to fulfil your request.
If you have any complaints, please let us know so that we can help you further and adjust / improve our work processes if necessary. If you are applying to a Randstad Enterprise company based in the EU, you also have the right to lodge a complaint with your supervisory authority.
Changes to this data protection notice
We may update this notice from time to time. You can see the date on which the last change was made below. We advise you to review this notice on a regular basis so that you are aware of any changes.
