We are a fast-growing business in an exciting market, and the smooth running of our projects and services is critical to our success. We need an Operations Assistant to help our Operations and Delivery team.

 

One of the key strengths of the career coaching service we provide for our clients is that each participating employee has a team of three people to support them: a coach, a CV writer and a job searcher. This role will be focused on supporting all aspects of the career coaching service and is a great opportunity to upskill as part of a supportive and friendly team.




Type of contract: Fixed-term contract (12 months)

 

Location: UK (preferable Birmingham or London)

 

Key Responsibilities:

  • Assigning work to our CV writing & coaching teams & track number of assignments and rates
  • Checking and following up on overdue CV writing milestones
  • Responding to coach and CV writer queries via email, Google Chat or phone
  • Monitoring the Google Chat forums for questions from coaches
  • Helping to coordinate workshops, training sessions and networking sessions
  • Running regular reports to monitor global referrals
  • Adding the schedule of live webinars to our internal systems
  • Supporting the Ops team with admin tasks
  • Ad hoc operations reporting in Excel
  • Managing outreach and scheduling automation process
  • Communicating via email and telephone to the participants receiving the program

 

What we would like you to have:

  • Very good organisational skills to manage several work assignments simultaneously
  • Attention to detail to keep track of multiple assignments, coach details and dates
  • Good time management to be aware of upcoming deadlines and think ahead
  • Friendly manner when dealing with CV writers and coaches to resolve any issues
  • Logical thinking and problem-solving skills to deal with any schedule conflicts or delivery issues
  • Good computer skills to use our systems and standard office apps to manage yourself and your work   
  • Customer service skills are essential in order to communicate with our participants, coaches, cv writers and other key stakeholders.
